Orders (order board)
Orders sit on a board with five columns: Quote, Approved, In production, Ready and Delivered. Each card is an order.
Create an order
- Click + New order (or + Add at the bottom of a column).
- Under What it is, describe the order (for example, "10 towels with names").
- Choose the Client from the list or type a new client’s name in the field next to it; they’re added right away.
- Fill in Quantity, Total amount, Deposit / down payment and Delivery date.
- If you like, choose the Embroidery file (one of your saved files) and note colors, font and placement under Details.
- Keep Add to accounts receivable (deposit now, balance on the due date) checked and say whether The deposit has already been paid.
- Click Save.
With that box checked, the system creates the deposit (due today) and the balance (due on the delivery date) in Accounts receivable.
Move the order along
- On a computer, drag the card to the next column.
- On a phone, tap the card and change the Stage.
- Cards past their due date are marked in red; due dates coming up, in yellow.
- The card shows how much is still to receive while there’s an open amount.
- Delivered orders stay on the board for 30 days and then leave it (they remain in the bills and in the client’s history).
Cancel or delete
Open the order and use Cancel order (it leaves the board) or Delete. Either way, the bills linked to it stay in Accounts receivable; delete them there if they won’t be charged anymore.
Tips
- Changing an order’s amount after saving doesn’t change the receivables already created. Adjust them in Accounts receivable too.
- Use Search order or client… to find an order quickly.
Common problems
I moved an order to Delivered and it said there’s still money to receive.
It’s a reminder: the order was delivered, but its bill is still open. When you get paid, mark it as received in Accounts receivable.
I can’t drag cards on my phone.
On a phone, open the card and change the Stage in the form.
